Who we are
Ringbook is a bilingual answering service for US-based service businesses. It is operated by Datasamy, Inc., a Delaware corporation. References to “Ringbook,” “we,” “us,” or “our” mean Datasamy, Inc..

What we collect
- Account data: business name, owner email, phone number, mailing address, time zone, and the vertical you operate in.
- Call data: audio recordings, transcripts, caller phone numbers, and metadata for calls answered by your Ringbook agent.
- Booking data:appointment times, service types, customer names, and phone numbers captured during a call (when you’ve connected your calendar).
- Payment data: processed by Stripe; we store a customer identifier and subscription status, never card numbers.
- Product telemetry: page views, feature usage, and error reports via PostHog (anonymized) and Vercel.
SMS communications
Ringbook sends SMS messages to your verified operator phone number(s). The use case is narrow:
- Per-call summaries:after your Ringbook agent answers a call, you receive a one-line SMS summary with the caller’s name, the service requested, the booked time (if any), and a link to the full transcript.
- Account notifications: billing receipts, trial-ending reminders, and critical service alerts.
Frequency: typically one SMS per inbound call your agent answers, plus a small number of monthly account notifications.
Opt-in: when you sign up and provide a phone number, you consent to receive SMS at that number for the use cases above. Consent is not a condition of purchasing any product or service.
Opt-out: reply STOP to any Ringbook SMS to immediately unsubscribe; reply HELP for assistance. Carrier message and data rates may apply.
We do not share your phone number with third parties for marketing or promotional purposes. SMS content is not used to train AI models.
Google Calendar data
Connecting Google Calendar is optional. When you connect it, your Ringbook agent can check your availability and write a booking for you. This section describes exactly what Google data we access, how it is used, and how it is stored, retained, and shared.
What we access
With your permission, Ringbook requests these Google scopes:
openid,email, andprofile: to confirm which Google account you connected. Sign-in identity only.https://www.googleapis.com/auth/calendar.readonly: used solely to read free/busy intervals on your primary calendar (a free/busy query) so your agent can offer open times. We read only the start and end timestamps of busy blocks. We never read event titles, descriptions, attendees, or any other event contents.https://www.googleapis.com/auth/calendar.events: used solely to insert one appointment event on your primary calendar when your agent books a job. The event holds the caller’s name, phone, requested service, address, and notes captured during the call. We do not list, fetch, edit, or delete any other events.
How we use it
Free/busy times are passed to your voice agent live during a call so it can offer the caller an open slot. When a booking is made, one event is written to your calendar. That is the entire use. Calendar data is not used for any other feature.
How we store and protect it
To keep your connection working between calls, we store Google OAuth tokens (an access token and a refresh token) on your account record in our database (Supabase Postgres). Access tokens are refreshed automatically using the stored refresh token and re-saved. Tokens are held on the server and are never exposed to callers or to other operators. The booking events Ringbook creates live in your own Google Calendar; we do not keep a separate copy of your calendar.
Retention
We keep your Google tokens for as long as your calendar stays connected. If you disconnect, or close your account, the stored tokens are deleted. After account termination, data is retained for 30 days for export and then deleted.
How we share it (and what we never do)
Google user data stays in your own account record and your own Google Calendar. We do not sell it. We do not use it for advertising. We do not use it to train or fine-tune any AI or machine-learning model. It is not read by humans, except as the Google API Services User Data Policy permits (for example, with your consent, for security, or where required by law). The only automated use is your live voice agent receiving open time slots during the call.
Revoking access and deleting your Google data
You can disconnect Google Calendar from your account settings, which deletes the stored tokens from Ringbook. You can also revoke Ringbook’s access directly from your Google Account at myaccount.google.com/permissions. To have us delete the stored tokens for you, email support@ringbook.pro.
Limited Use
Ringbook’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
How we use your information
- To operate the answering service you signed up for.
- To deliver per-call SMS and email summaries.
- To process payments and manage your subscription.
- To improve product quality (aggregated, de-identified analytics).
- To respond to your support requests.
- To comply with legal obligations.
Service providers
We rely on a small set of vendors to operate Ringbook. They process data on our behalf under contract and are not permitted to use it for any other purpose:
- Telnyx — telephony (phone numbers, SMS delivery)
- Retell — voice agent runtime
- OpenAI — language model for the voice agent
- Supabase — database + storage
- Vercel — hosting + serverless runtime
- Stripe — payments
- Resend — transactional email
- PostHog — product analytics
- Google — Calendar integration (only when you connect it). See Google Calendar data below.
Retention
Call audio and transcripts are retained for 90 days, then deleted. Account data is retained for the life of your subscription plus 12 months for compliance and dispute resolution. You may request earlier deletion by emailing support@ringbook.pro.
Your rights
You can access, export, correct, or delete the data we hold about you. Email support@ringbook.pro and we’ll respond within 30 days. Residents of California, Virginia, Colorado, Connecticut, and Utah have additional rights under their respective state privacy laws.
Children
Ringbook is for use by US-based service businesses. We do not knowingly collect information from children under 13.
Changes
We’ll update this page when our practices change and post the new effective date at the top. Material changes will also be communicated by email.
